Privacy Policy
Last updated 13 October 2026
Altus Migration Services is committed to protecting the privacy, confidentiality and security of personal information provided by our clients. This policy explains what we collect, why, who we share it with, and how you can see or correct it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth) and our duty of confidentiality under the Code of Conduct for registered migration agents.
Information we collect
We may collect personal and sensitive information necessary to provide immigration assistance, including your name, contact details, date of birth, passport and identity documents, visa and immigration history, employment and education information, financial information, family details, health information, character information and other documents relevant to your immigration matter.
- When you send a general question through this website: your name, email address, subject and message, and your phone or WhatsApp number if you choose to give it.
- When you book a consultation: your name, email address, the time you book, anything you add in the booking notes, and payment details. Your card is processed by Stripe; we never see or store your full card number.
Health and character information is sensitive information under the Privacy Act. We only collect sensitive information with your consent, and only when your matter needs it. If you give us information about other people, such as family members or a sponsor, please make sure they know you are sharing it with us, and point them to this policy. Where an application needs an adult’s health or character information, we will ask for their consent.
You can ask a general question using a first name or a nickname. We need an email address so we can reply.
How we collect it
Mostly from you directly: through this website’s forms, our booking calendar, email, phone, WhatsApp, video consultations and the documents you give us. With your consent, we may also collect information from people acting for you, such as a family member, sponsor or employer, and from government agencies and other bodies involved in your matter.
How we use your information
Your information may be used to:
- assess your immigration circumstances and eligibility
- provide migration advice and immigration assistance
- prepare and manage visa, sponsorship and other immigration-related applications
- communicate with you about your matter
- communicate with the Department of Home Affairs, review bodies and other relevant authorities or organisations where authorised or required
- comply with our professional, regulatory and legal obligations.
We do not sell your personal information, we do not use it for marketing, and we do not use automated decision-making to make decisions about you.
Confidentiality
As a Registered Migration Agent, we are required to maintain the confidentiality of client information. We will not disclose your personal information to a third party without your written consent, except where disclosure is required or authorised by law.
Disclosure to third parties
Where necessary and authorised, information may be provided to relevant third parties such as the Department of Home Affairs, review authorities, skills assessing authorities, health or character assessment providers, interpreters, professional advisers and other organisations involved in your immigration matter. Where your written consent is required for disclosure, we will obtain it before disclosing your information.
We also use service providers to run the business (website hosting, email, booking, payments and video calls, listed below), and they handle your information only to provide their services to us. We may need to share information with our professional indemnity insurer, and with the Office of the Migration Agents Registration Authority (OMARA) or others when the law requires it.
Services outside Australia
Some of the services we use may store or process your information outside Australia, mainly in the United States, and sometimes in other countries where these providers run their systems:
- Cloudflare: website hosting and security
- Resend: delivering the website’s question form to our inbox (Resend keeps a copy of each message for a limited time)
- Google Workspace: our email
- WhatsApp (Meta): if you message us there
- Cal.com: our booking calendar
- Stripe: card payments
- Zoom, Microsoft Teams or Google Meet: video consultations, whichever you choose
We use these providers under their standard data-protection terms, which limit how they can use your information, and we remain responsible for how your information is handled.
Storage and security
We take reasonable steps to protect personal information and client documents from loss, misuse, unauthorised access, modification or disclosure. Information may be stored securely in electronic and/or physical form, in password-protected accounts with two-step sign-in. This website uses an encrypted (HTTPS) connection, and card payments are handled by Stripe and never pass through our systems.
Client files are retained in accordance with the record-keeping requirements applicable to Registered Migration Agents, generally for 7 years after the last action on the client file, then destroyed securely. Questions that only received general information are deleted after 12 months.
If a data breach is likely to cause you serious harm, we will tell you, and the Office of the Australian Information Commissioner where the law requires it.
Access and correction
You may contact us to request access to personal information we hold about you or to ask us to correct information that is inaccurate, incomplete or out of date, subject to applicable legal requirements. We will reply within 30 days, and it costs nothing to ask. If we cannot give you access or don’t agree to a correction, we will explain why in writing, and you can ask us to attach a statement that you believe the information is wrong.
Website and online services
Our website and online communication systems may collect limited technical information necessary for website operation, security and communication. Where third-party platforms or service providers are used, information may also be handled in accordance with their applicable privacy practices.
- This website does not use advertising or tracking cookies, and we do not run website analytics.
- Cloudflare may set a security cookie to protect the site from automated attacks.
- The booking calendar is provided by Cal.com, which may set its own cookies inside the calendar, and Stripe may set cookies to prevent fraud when you pay.
- Our fonts load from Google Fonts, so your browser shares your IP address with Google when it loads them.
Privacy enquiries and complaints
If you have any questions or concerns about how your personal information is handled, please contact Altus Migration Services. We will take reasonable steps to address privacy concerns promptly and appropriately. We will acknowledge your complaint within 2 business days and reply in writing within 30 days.
If you are not satisfied with our reply, you can contact the Office of the Australian Information Commissioner at oaic.gov.au. Complaints about a registered migration agent’s services or conduct can be made to the Office of the Migration Agents Registration Authority.
Changes to this policy
We may update this Privacy Policy from time to time to reflect changes to our services, business practices or legal and regulatory requirements. The current version is always on this page, with the date it was last updated.
